Article Submission Agreement

  • Authors must accept the submission agreement when submitting.  
  • The failure to exercise or enforce any right or provision in the policies or the Article Submission Agreement does not constitute a waiver of such right or provision.  
  • If any term of the Article Submission Agreement or JAAER policy is found to be invalid, the parties nevertheless agree that the court should endeavor to give effect to the parties' intentions as reflected in the provision, and the other provisions of the Article Submission Agreement and these policies remain in full force and effect. 
  • These policies and the Article Submission Agreement constitute the entire agreement between the JAAER and the Author(s) regarding submission of the Article. 

Conditions of Use 

  • Users of the website and/or software agree not to misuse the service or software in any way. 

Manuscript Submission Rules 

  • Anyone may submit an original article to be considered for publication in the JAAER provided he or she owns the copyright to the work being submitted or is authorized by the copyright owner or owners to submit the article.  
  • Authors are considered the initial owners of the copyrights to their works (an exception in the non-academic world to this might exist if the authors have, as a condition of employment, agreed to transfer copyright to their employer). 
  • Submitted articles must not have been previously published or under current consideration for publication elsewhere. 

Access, Archiving, Copyright, & Licensing 

  • The JAAER is published on a free, open-access platform supported by the College of Aviation (Daytona Beach) at Embry-Riddle Aeronautical University. 
  • There are no fees for article submission and publication, and no charge for reader access. 
  • Elsevier Digital Commons serves as both the publishing platform and archival repository, with journal editions archived as soon as they are published. 
  • Journal content is copyrighted and is distributed under the terms of the Creative Commons Attribution–NonCommercial–NoDerivatives 4.0 International License (CC BY-NC-ND 4.0), which permits non-commercial use and distribution without modification.  
  • Readers may read, download, copy, distribute, print, search, or link to the full text of the article, provided that proper acknowledgment and citation of the original work are given.  

Ethics & Malpractice Statement 

Research or Publication Misconduct 

  • Research or publication misconduct includes fabrication, falsification, plagiarism, duplicate publication, undeclared competing interests, ethical-approval breaches, and serious authorship disputes. 
  • Authors must provide accurate authorship and funding disclosures, and ethical approval details where relevant. As a part of preliminary screening, the journal uses a plagiarism checker on all submissions and may request explanations and original data from the authors. 
  • Submit misconduct concerns via email (dbjaaer@erau.edu) or anonymously via post (Contact Us). Please include article details (e.g., title, authors, DOI), a clear description of the concern, and supporting evidence or documents. 
  • The journal follows COPE and relevant national guidance and will seek legal advice when needed to fairly and confidentially address any reports of alleged misconduct. 

 

GENERATIVE AI STATEMENT 

Purpose and Scope 

  • This policy establishes guidelines for the ethical and transparent use of artificial intelligence (AI), including generative AI tools (e.g., ChatGPT, Claude, Gemini), in the preparation, review, and editorial management of manuscripts submitted to the Journal of Aviation/Aerospace Education & Research (JAAER). 
  • This policy governs AI use in creating text, figures, illustrations, references, graphics, and peer review and applies to all contributors to the journal, including authors, editors, and reviewers.

Obligations of Authors 

Responsibility: 

  • Authors remain fully accountable for the accuracy, originality, integrity, and ethical compliance of their manuscript, including any content modified with AI.  
  • Failure to disclose AI use, or misrepresentation of its role, may result in rejection, retraction, or other corrective actions. 

Permitted: 

  • Improving readability, grammar, or language. 
  • Enhancing clarity of figures, illustrations, or graphics. 
  • Refining images. 

Prohibited: 

  • Drafting the manuscript. 
  • Generating data, results, or references. 
  • Creating deceptive images, data, or results. 
  • Including AI tools as authors or citing them as original sources. 

Disclosure Required: 

  • Authors must disclose any use of AI tools during manuscript preparation.  
  • The disclosure should identify the tool (name and version) and briefly describe its role (e.g., grammar editing, text refinement, figure enhancement).  
  • Disclosures must appear in the manuscript’s Acknowledgments section. 

Author Disclaimer / Note (Example): 

  • The authors acknowledge the use of [AI Tool, version] for [specific purpose]. The tool was used solely for [grammar editing / language refinement / figure enhancement / other clearly defined use permitted use]. The authors take full responsibility for the accuracy, originality, and integrity of all manuscript content. 

Obligations of Editors 

  • Editors must not upload submitted manuscripts, or portions thereof, to third-party AI tools or platforms, as this compromises confidentiality and intellectual property. 
  • Editors may use journal-approved tools (e.g., plagiarism detection software like iThenticate) but must not rely on AI systems to evaluate manuscript quality or make editorial decisions. 

Obligations of Reviewers 

  • Manuscripts under review are confidential and may not be shared with or uploaded to AI tools. 
  • Reviewers may use AI tools to improve the readability of their written comments but must disclose such use when submitting their review. 
  • Reviewers must not delegate the substantive work of review to AI (e.g., generating entire reviews, judgments of quality, or recommendations). 

Enforcement 

JAAER reserves the right to 

  • Reject manuscripts where AI use is undisclosed or misused. 
  • Retract published manuscripts found to have violated this policy. 
  • Remove reviewers or editors from service for breaches of confidentiality or improper AI reliance. 

Updates 

  • This generative AI policy will be reviewed regularly and updated to reflect evolving standards and best practices in scholarly publishing and AI ethics.
